Records

As the producer of hazardous waste you must keep a register of each waste load that has been removed from your premises
 
The details required are: 

  • Quantity - In kilograms.
  • Nature - A full description of the waste, including its components, hazardous properties and List of Waste Code.
  • Origin - The name, address and postcode of the premises where the waste was produced or kept.
  • Destination - The name, address and postcode of the consignee. If the waste is disposed or recovered at the same premises as its origin, this should be stated.
  • Frequency of collection - The number of consignment notes will indicate this.
  • Mode of transport (if applicable) - e.g. road, rail, etc. This is not required if the waste is kept, disposed or recovered at the same premises as its origin and it is not transported.
  • Treatment method (if applicable) – The waste facility must send a report to the producer, consignor or holder, a description of the method of disposal or recovery for each hazardous waste they received.
  • Identification of carrier (if applicable) - This must record sufficient details to enable the carrier to be identified, including at a minimum, the carrier’s name, address (including postcode) and carrier registration number. This is not required if the waste is kept, disposed or recovered at the same premises as its origin and is not transported.

Your duty to keep these records will be met by keeping your copies of the consignment notes.
 
The register must be kept at either the notified premises or another address agreed with the Environment Agency.  The records must be kept at this location for at least three years from the date on which the waste was removed.  If you cease to occupy the premises you registered you must notify the Environment Agency prior to the three year period has ended.
 
Every quarter the consignee must send to you confirmation of how your waste was disposed or recovered for each waste load as follows:

Quarter waste was disposed
Q1 - 1 January to 31 March
Q2 - 1 April to 30 June
Q3 - 1 July to 30 September
Q4 - 1 October to 31 December 

The Environment Agency may request a copy of the information recorded above to help them perform their regulatory functions by monitoring the production, storage, treatment, recovery, movement and disposal of your hazardous waste.
